TOKA Tennis Academy — Terms & Conditions

By enrolling in a program, lesson or event with TOKA Tennis Academy, participants and/or their parent or guardian agree to the following Terms & Conditions.

Payment Terms

• All invoices must be paid within 10 days of receiving the invoice, unless otherwise stated.

• Payment of the relevant invoice is required to secure a player's position for the term or program.

• Bank transfer is the accepted method of payment unless an alternative payment method has been arranged with TOKA Tennis Academy.

Make-Up & Cancellation Policy
We understand that illness and unexpected circumstances can occur and will always aim to be reasonable when managing missed lessons.

• If a player is unwell and unable to attend their scheduled lesson, TOKA Tennis Academy must be notified at least 24 hours prior to the lesson to be eligible for a make-up lesson.

• We understand that illness can sometimes occur unexpectedly. Same-day cancellations due to genuine illness may be considered where reasonable notice has been provided.

• Make-up lessons are generally provided for absences due to illness and are subject to availability.

• Where a make-up lesson is available, the player or parent/guardian must contact TOKA Tennis Academy to arrange the make-up within 7 days of the original missed lesson.

• If contact is not made within this 7-day period, the make-up lesson may be forfeited.

• Make-up lessons are subject to coaching and program availability and may take place with a different coach, group or session where appropriate.

• Refunds are not provided for missed lessons. However, exceptional personal circumstances, including significant illness or bereavement, may be considered at the discretion of TOKA Tennis Academy.

Wet Weather & Extreme Heat Policy
Tennis is an outdoor sport, and TOKA Tennis Academy will make every reasonable effort to conduct scheduled lessons where conditions are safe and suitable.
Lessons may continue during light rain or other manageable weather conditions, provided the courts remain safe for play.
If a lesson needs to be cancelled due to wet weather, unsafe court conditions, extreme heat or other weather-related circumstances, TOKA Tennis Academy will contact affected players or parents/guardians by text message.
Unless you receive notification that your lesson has been cancelled, please assume the lesson is proceeding as scheduled.
We aim to provide as much notice as reasonably possible. However, weather conditions can change quickly, and cancellations may occasionally need to be made at short notice.
Where TOKA Tennis Academy cancels a lesson due to weather conditions, information regarding a make-up lesson, credit or alternative arrangement will be communicated to affected participants.

Medical & Liability
 I hereby authorise the staff of TOKA Tennis Academy to act for me according to their best judgment in any emergency requiring medical attention.
I release TOKA Tennis Academy from any and all liability for injury or illness and costs incurred while undertaking a program or event with TOKA Tennis Academy.

Photography, Video & Media
I acknowledge that TOKA Tennis Academy may film, use video analysis and photography during programs, lessons and events. I acknowledge and agree that this content may be used for marketing and promotional purposes on the website, social media and other promotional material used by TOKA Tennis Academy.

Privacy
TOKA Tennis Academy respects the privacy of its players, families and community.
Personal information collected by TOKA Tennis Academy will be used for purposes reasonably connected with providing our services, including:

• Managing registrations and enrolments

• Communicating with players and parents/guardians

• Processing and managing payments

• Organising lessons, programs and events

• Responding to enquiries

• Managing safety and emergency information where applicable

Personal information will not be sold or exchanged with third parties for marketing purposes.
Information may be shared where reasonably necessary to provide our services, where consent has been provided, or where required or authorised by law.
Agreement

By registering for a lesson, program or event, you acknowledge that you have read and understood the applicable Terms & Conditions and policies of TOKA Tennis Academy.
